The certified copy is the reproduction (“xerox”) of a document in which the notary declares that it is a true copy of the original document, which retains all the characteristic signs necessary for its identification.
The interested party presents original documents at the notary public office and requests the certified copy. The reproduction of the original document (Xerox) can be done at the notary office or it can be provided by the user along with the original document. In both cases, it will be checked with the original document to verify that the copy retains its identifying elements, the authenticity seal, stamp and signature of the person in charge of authentication will be affixed. It is forbidden to use a copy of the document, authenticated or not, to make a new authentication, that is, the authenticated copy can only be made upon presentation of the original documents.
It is also forbidden to extract a certified copy if the original document contains erasures, has been tampered with by scraping or correction as well as written in pencil.
In the case of identification documents, it is forbidden to extract a certified copy if the documents are replanted. Now, through the Notarial Digital Authentication Center (CENAD), it is possible to digitally authenticate a document in any Notary Public Office in the State of São Paulo.
In the practice, the user will present the original document to the public notary, that will convert all the information to a digital copy and will authenticate it through CENAD after checking the integrity, delivering to the user a pen drive or other media with the authenticated digital document. For example, if a citizen has stacks of documents that he intends to migrate to the digital environment, it is enough to hand it over to a notary public, who will have the entire collection digitalized and authenticated.
